The Swiss army knives of any organization juggle many tasks and deadlines while supervising those of others. Faced with these challenges, they often find themselves overwhelmed by routine, repetitive responsibilities. We immersed ourselves in the daily lives of 6 executive assistants who use the WEDO platform to understand the workings of their organization, the challenges they face, and the tools they have put in place to facilitate their management.

According to our study, the most time-consuming tasks for executive assistants revolve mainly around administrative functions. These activities, while necessary, tend to monopolize a significant proportion of their working time, preventing them from concentrating fully on more crucial aspects of their role, such as operational and strategic development.

Among the most time-consuming tasks in their job descriptions, the executive assistants surveyed identify the following:

**1. Meeting preparation:** preparing agendas and presentation documents, taking and sharing minutes, following up on decisions and tasks delegated at meetings,

**2. Diary management and meeting organization:** planning and coordination of appointments, team meetings, and conferences, taking care to avoid scheduling conflicts,
**3. Document preparation and management:** drafting, proofreading, and organizing important documents such as reports, presentations, correspondence and contracts,

**4. Project coordination:** managing and following up on specific projects, liaising between different departments, and meeting deadlines.

Internal and external communications, administrative support, and human resources management closely follow those.

## How to lighten the administrative load for an executive assistant?

When asked what tools were used to monitor collaboration before WEDO was integrated, the most common programs were Outlook, Word (for taking minutes), and Excel. However, these tools had significant limitations. Respondents reported difficulties related to the cross-functionality of information between different team members. For example, these tools were not conducive to **active, real-time collaboration when taking PVs**, making this task often cumbersome and time-consuming, and necessitating numerous round-trips. The systematic use of e-mail to distribute these documents wasted considerable time without guaranteeing effective communication.

Furthermore, the limited nature of these tools prevented efficient tracking of tasks and projects. Users faced significant challenges maintaining a clear, up-to-date overview of projects. In short, although these tools are widespread and familiar, their use in team collaboration and project management needs to be improved.

This situation underlines the importance of cross-functional tools and solutions to lighten the administrative workload. With the implementation of WEDO, the executive assistants surveyed were able to optimize their administrative processes.

Wir haben einige Management Assistent-innen in Ihrem Alltag begleitet und wollten mehr über ihre Arbeitsweise, die täglichen Herausforderungen und Tools erfahren, die sie nutzen.

Unsere Untersuchung zeigt, dass die zeitaufwändigsten Aufgaben für die Assistenz der Geschäftsleitung hauptsächlich in der Administration liegen. Diese Aufgaben sind zwar erforderlich, beanspruchen jedoch einen erheblichen Teil ihrer Arbeitszeit und verhindern, dass sie sich vollständig auf die bedeutenderen Elemente ihrer Funktion konzentrieren können, wie beispielsweise die operative und strategische Weiterentwicklung.

Unter den zeitaufwändigsten Aufgaben in ihrer Tätigkeitsbeschreibung nennen die befragten Assistenzen der Geschäftsleitung die folgenden:

**1. Vorbereitung von Sitzungen:** Vorbereitung von Traktandenlisten und Präsentationsunterlagen, Erstellung und Teilen von Protokollen, Nachbereitung von Entscheidungen und Aufgaben, die in Sitzungen delegiert wurden,

**2. Terminverwaltung und Sitzungsorganisation:** Planung und Koordinierung von Terminen, Team-Sitzungen und Konferenzen, wobei darauf zu achten ist, Terminkonflikte zu vermeiden,

**3. Vorbereitung und Verwaltung von Dokumenten:** Abfassen, Korrekturlesen und Organisieren wichtiger Dokumente wie Berichte, Präsentationen, Korrespondenz und Verträge,

**4. Projektkoordinierung:** Verwaltung und Weiterverfolgung spezifischer Projekte, Verbindung zwischen verschiedenen Abteilungen und Einhaltung von Deadlines.

Die interne und externe Kommunikation, die administrative Unterstützung und die Personalverwaltung stehen ebenso auf der Aufgabenliste.

## Wie kann man eine Management Assistenz entlasten?

Vor WEDO wurden hauptsächlich Outlook, Word und Excel für die Zusammenarbeit genutzt. Doch diese Tools haben klare Einschränkungen. Die Befragten hatten Schwierigkeiten beim Austausch von Informationen im Team. Diese Instrumente waren nicht für schnelle Zusammenarbeit bei der Protokollerstellung gemacht. Das machte die Arbeit oft mühsam und zeitaufwändig, und es waren viele Umwege nötig. Die systematische Verwendung von E-Mail für die Verteilung dieser Dokumente führte zu einem erheblichen Zeitverlust, ohne dass eine effiziente Kommunikation gewährleistet war.

Hinzu kommt, dass diese Instrumente aufgrund ihrer Beschränkung eine effiziente Verfolgung von Aufgaben und Projekten verhinderten. Für die Beteiligten war es sehr schwierig, einen klaren und aktuellen Überblick über die Projekte zu behalten. Insgesamt müssen diese Tools für die Teamarbeit und Projektmanagement verbessert werden, obwohl sie weit verbreitet und bekannt sind.

Diese Situation unterstreicht die Bedeutung funktionsübergreifender Hilfsmittel und Lösungen zur Erleichterung des Verwaltungsaufwands. Mit der Einführung von WEDO konnten die befragten Assistenzkräfte der Geschäftsführung ihre administrativen Prozesse optimieren.

Face à ces défis, ils se retrouvent souvent submergés par des responsabilités routinières et répétitives. Nous nous sommes plongés dans le quotidien de 7 assistants et assistantes de direction utilisateurs de la plateforme WEDO, afin de comprendre les rouages de leur organisation, les défis qu'ils rencontrent ainsi que les outils qu'ils ont mis en place pour faciliter leur gestion.

Selon notre étude, les tâches les plus chronophages pour les assistants de direction s'articulent principalement autour de fonctions administratives. Ces activités, bien que nécessaires, tendent à monopoliser une part significative de leur temps de travail et les empêchent de se concentrer pleinement sur des aspects plus cruciaux de leur rôle, tels que le développement opérationnel et stratégique.

Parmi les tâches les plus chronophages de leur cahier des charges, les assistants de direction sondés identifient les suivantes :

**1. Préparation des réunions :** préparation des ordres du jour et des documents de présentation, prise de PV et partage des comptes rendus, suivi des décisions et tâches déléguées lors des réunions,
**2. Gestion de l'agenda et organisation de réunions :** planification et coordination des rendez-vous, des réunions d'équipe et des conférences, en veillant à éviter les conflits d'horaires,
**3. Préparation et gestion des documents :** rédaction, relecture et organisation des documents importants comme les rapports, les présentations, les courriers et les contrats,
**4. Coordination de projets :** gestion et suivi de projets spécifiques, en assurant la liaison entre différents départements et en veillant au respect des échéances.

Suivies de près par la communication interne et externe, le support administratif et la gestion des ressources humaines.

## Comment soulager la charge administrative d’un assistant de direction ?

Lorsqu’on demande aux répondants quels outils assuraient le suivi de la collaboration avant l’intégration de WEDO, les programmes les plus répandus étaient Outlook, Word (pour la prise de PV) et Excel. Cependant, ces outils présentaient des limitations notables. Les répondants ont en effet fait état de difficultés liées à la transversalité des informations entre les différents membres de l'équipe. Par exemple, ces outils ne favorisaient pas **une collaboration active et en temps réel lors de la prise des PV**, rendant cette tâche souvent lourde et chronophage et nécessitant de nombreux allers-retours. Le recours systématique aux e-mails pour la diffusion de ces documents entraînait une perte de temps considérable, sans garantir l'efficacité de la communication.

Par ailleurs, la nature limitée de ces outils ne permettait pas un suivi efficace des tâches et des projets. Les utilisateurs se heurtaient à des défis majeurs pour maintenir une vue d'ensemble claire et à jour des projets en cours. En somme, bien que ces outils soient largement répandus et familiers, leur utilisation dans le cadre de la collaboration d'équipe et la gestion de projets se révélait insuffisante.

Cette situation souligne l'importance de disposer d'outils et de solutions transversales qui peuvent alléger la charge de travail administrative. Avec l’implémentation de WEDO, les assistants de direction sondés ont pu optimiser les processus suivants :

## Step 1: Meeting agenda in preparation

Agathe Rost, Executive Assistant, decided to prepare the agenda for the next committee meeting in a week's time. The director of the organization, Bernard Macherel\*, sent her by email the list of topics to be discussed. Agathe goes to the workspace dedicated to the Executive Committee and adds a meeting. After entering the title, date, time, duration and location of the meeting, she focuses on the list of participants. The members of the Executive Committee workspace have been added automatically to save her precious time.

Agathe now wishes to manage the different access rights of the participants. For this meeting, Mathilde and Bernard have all the same rights as Agathe. The other participants will only be able to modify the agenda items in steps 1 and 3\.

Next, Agathe wishes to add the items to the agenda. With a few clicks, she copies the list of topics previously listed by her director and pastes it into the input bar. The items are created automatically and now appear in the table of contents on the left side of the screen. Agathe can now schedule them as she pleases.

## Step 2: Meeting agenda validated

On the eve of the meeting, the agenda has been completed by all participants and is normally no longer subject to change. After a brief rereading, Agathe can validate the agenda and proceed to step 2 by clicking on **Meeting agenda is ready** in the red banner at the bottom of the screen.

## Step 3: Meeting minutes currently written

On D-Day, Agathe returns to the previously prepared meeting. The meeting is in step 2 - Meeting agenda validated. At the bottom left of the screen, she clicks on **Start Meeting**.

Agathe begins by completing the information about the participants. She checks off the absent and excused persons. She also adds the reason for the apology in the field provided.

The meeting begins: Agathe is ready to write up the minutes of the discussions. A few hours after the meeting, Agathe would like to review the minutes. She returns to the Executive Committee workspace, resumes the meeting in Step 4 - Meeting minutes in review. To make corrections, she clicks **Edit Minutes** in the purple banner at the bottom of the screen. Once the changes have been made, she clicks **Finish**.

## Step 5: Meeting minutes locked

A few days after the meeting and after a final reading, Agathe can finally move on to the last step. In order to follow up from one meeting to the next, she decides to lock the minutes. The minutes can no longer be modified. 

To do this, she clicks the **Lock meeting minutes** button in the purple banner at the bottom of the screen and follows the procedure required for locking.

Finally, Agathe sends an email to participants to inform them that the minutes have been locked. They are invited to read it again in order to ensure a follow-up from one meeting to the next.

## Schritt 1: Traktandenliste in Vorbereitung

 Die Direktionsassistentin Agathe Rost beschliesst, die Traktandenliste für die nächste Geschäftsleitungssitzung in einer Woche vorzubereiten. Der Leiter der Firma, Bernard Macherel\*, übermittelte ihr per E-Mail die Liste der zu behandelnden Themen. Agathe geht in den Arbeitsbereich Direktion um eine Sitzung hinzufügen. Nach der Eingabe des Titels, des Datums, der Uhrzeit, der Dauer und des Veranstaltungsortes konzentriert sie sich auf die Teilnehmerliste. Die Mitglieder des Geschäftsleitung wurden automatisch vom Arbeitsbereich übernommen, um wertvolle Zeit zu sparen.

Agathe möchte nun die verschiedenen Zugangsrechte der Teilnehmer verwalten. Für dieses Treffen haben Mathilde und Bernard alle Rechte wie Agathe. Die restlichen Teilnehmer können nur die Traktanden in den Schritten 1 und 3 anpassen.

Danach möchte Agathe die Punkte auf die Traktandenliste setzen. Mit wenigen Klicks kopiert sie die Liste der Themen, die ihr Vorgesetzter vorher aufgelistet hat, und kopiert sie in die Eingabeleiste. Die Punkte werden automatisch erstellt und sind neu im Inhaltsverzeichnis links vom Bildschirm zu finden. Agathe kann sie nun entsprechend ordnen.

Die Agenda der Sitzung ist fertig. Agathe möchte die Teilnehmer informieren, damit diese ihre Notizen zu den Traktanden hinzufügen. Dazu verschickt sie eine E-Mail direkt von der Plattform über den **Knopf mit dem Umschlag**.

Die Teilnehmer werden als Empfänger übernommen. Agathe nutzt das vordefinierte Objekt und die Nachricht, um Zeit zu sparen und klickt direkt auf **E-Mail versenden**.

## Schritt 2: Traktandenliste bestätigt

Am Vorabend der Sitzung wurde die Traktandenliste von allen Teilnehmern ergänzt und kann in der Regel nicht mehr geändert werden. Nach einer kurzen Lektüre kann Agathe die Traktandenliste bestätigen und klickt auf **Traktandenliste ist verfügbar** im roten Banner am unteren Bildschirmrand, um zu Schritt 2 überzugehen.

Agathe muss in einem der Traktanden eine Last-Minute-Information hinzufügen. Mit dem orangen Balken am unteren Bildschirmrand **bearbeitet sie das Traktandum**.

## Schritt 3 : Sitzungsprotokoll in Bearbeitung

Am Tag X, kehrt Agathe zur vorbereiteten Sitzung zurück. Diese befindet sich im Schritt 2 - Traktandenliste bestätigt. Unten links auf dem Bildschirm klickt sie auf Die **Sitzung beginnen**.

Agathe beginnt mit dem Ausfüllen der Teilnehmerinformationen. Sie kreuzt die abwesenden und entschuldigten Personen an. In dem entsprechenden Feld wird auch der Entschuldigungsgrund hinzugefügt.

Die Sitzung beginnt: Agathe ist bereit das Protokoll zu erstellen. Bei der Abfassung kann sie mit dem Inhaltsverzeichnis leicht von Punkt zu Punkt navigieren und den einzelnen Punkten Absätze, Entscheidungen und Aufgaben hinzufügen. Am Ende der Sitzung klickt Agathe auf die Schaltfläche **Sitzung beenden**, im gelben Balken unten am Bildschirm.

## Schritt 4 : Überprüfung des Sitzungsprotokoll

Einige Stunden nach der Sitzung möchte Agathe das Protokoll noch einmal überarbeiten. Sie kehrt in den Arbeitsbereich des Geschäftsleitung zurück, übernimmt die Sitzung in Schritt 4 - Überprüfung des Sitzungsprotokoll. Um Korrekturen vorzunehmen, realisiert sie diese direkt in jedem Punkt des Sitzungsprotokoll mit dem blauen + Schaltfläche.

## Schritt 5 : Sitzungsprotokoll gesperrt

Wenige Tage nach der Sitzung und nach einer letzten Lesung kann Agathe endlich zur letzten Schritt übergehen. Sobald das Sitzungsprotokoll überprüft une angenommen wurde, kann Agathe es sperren. Ab jetzt kann das Protokoll nicht mehr angepasst werden.

Dazu klickt sie auf dem Schaltfläche **Sitzungsprotokoll sperren,** gibt den Code ein und klickt erneut auf Sitzungsprotokoll sperren**.**

Am Ende sendet Agathe eine E-Mail an die Teilnehmer, um sie darüber zu informieren, dass das Sitzungsprotokoll gesperrt wurde. Die Teilnehmern werden aufgefordert, es erneut zu lesen.

### La préparation et le suivi d’un Comité de direction par Agathe Rost[^1], Assistante de direction

## Étape 1 : ordre du jour en préparation

Agathe Rost, assistante de direction, décide de préparer l’ordre du jour pour le prochain comité qui aura lieu dans une semaine. Le directeur de l’organisation, Bernard Macherel\*, lui a transmis par email la listes des sujets à traiter. Agathe se rend dans l’espace de travail dédié au Comité de direction et ajoute une réunion. Après avoir saisi le titre, la date, l’heure, la durée et le lieu de la réunion, elle se concentre sur la liste des participants. Les membres de l’espace de travail du Comité de direction ont été ajoutés automatiquement afin de lui faire gagner un temps précieux.

Agathe souhaite maintenant gérer les différents droits d’accès des participants. Pour cette réunion, Mathilde et Bernard ont tous les droits au même titre qu’Agathe. Les autres participants pourront uniquement modifier les points à l’ordre du jour aux étapes 1 et 3\.

Ensuite, Agathe désire ajouter les points à l’ordre du jour. En quelques clics, elle copie la liste des sujets préalablement listés par son directeur et la colle dans la barre de saisie. Les points sont créés automatiquement et figurent désormais dans la table des matières à gauche de l’écran. Agathe peut maintenant les ordonnancer à sa guise.

La trame de la réunion est prête. Agathe aimerait informer les participants afin que ces derniers ajoutent leurs notes aux points à l’ordre du jour. Pour ce faire, elle envoie un email aux participants directement depuis la plateforme en cliquant sur le **bouton avec l’enveloppe**. 

Les participants sont repris comme destinataires. Agathe profite de l’objet et du message prédéfinis pour gagner du temps et clique directement sur **Envoyer par email**.

## Étape 2 : ordre du jour validé

A la veille de la réunion, l’ordre du jour a été complété par tous les participants et n’est normalement plus susceptible d’être modifié. Après une brève relecture, Agathe peut valider l’ordre du jour et passer à l’étape 2 en cliquant sur **L’ordre du jour est prêt** dans le bandeau rouge au bas de l’écran.

Agathe doit finalement ajouter une information de dernière minute dans l’un des points à l’ordre du jour. A partir du bandeau orange au bas de l’écran, elle **édite l’ordre du jour.**

## Étape 3 : compte rendu en rédaction

Le jour J, Agathe retourne sur la réunion préalablement préparée. Celle-ci se trouve à l’étape 2 – ordre du jour validé. En bas à gauche de l’écran, elle clique sur **Commencer la réunion**.

Agathe commence par compléter les informations concernant les participants. Elle coche les personnes absentes et excusées. Elle ajoute également le motif de l’excuse dans le champ prévu à cet effet.

La réunion commence : Agathe est prête à rédiger le compte rendu des discussions. Lors de sa rédaction, elle navigue facilement de point en point grâce à la table des matières et ajoute notes, décisions et tâches aux différents points traités. Au terme de la réunion, Agathe clique sur le bouton **Clore la réunion** dans le bandeau jaune au bas de l’écran.

## Étape 4 : compte rendu en relecture

Quelques heures après la réunion, Agathe souhaite procéder à la relecture de son compte rendu. Elle retourne dans l’espace de travail du Comité de direction, reprend la réunion qui se trouve à l’étape 4 – compte rendu en relecture. Pour apporter des corrections, elle clique sur **Éditer le compte rendu** dans le bandeau violet au bas de l’écran. Une fois que les modifications ont été effectuées, elle clique sur **Terminer**.

## Étape 5 : compte rendu verrouillé 

Quelques jours après la réunion et après une dernière lecture, Agathe peut finalement passer à la dernière étape. Pour assurer le suivi d’une réunion à l’autre, elle décide donc de verrouiller le compte rendu. Ce dernier ne pourra plus être modifié. 

Pour ce faire, elle clique sur le bouton **Verrouiller le compte rendu** dans le bandeau violet au bas de l’écran et suit la procédure requise pour le verrouillage.

Finalement, Agathe envoie un email aux participants pour les informer que le compte rendu a été verrouillé. Ces derniers sont invités à le relire afin d’assurer un suivi d’une réunion à l’autre.
