Fribourg SME WEDO is doing well and has decided to consolidate its place in the Swiss economy by changing its legal form. The former Llc is proud of its new name, WEDO Ltd, even though the founders have no intention of opening up the company's shares to external investors for now.

After swapping the initial domain name wedo.swiss for [wedo.com](https://wedo.com/) a few months ago, the company is now pursuing a strategy of consolidating its assets for serene and ambitious growth.

**A team with international ambitions**

Founded in 2015 by Fribourg-based David Dutch and Antoine Sudan, the company now has 14 employees based in Fribourg and Zurich, including four recruits in 2022 alone. Working in high value-added jobs such as Full Stack Developer (3 of whom trained at the Fribourg School of Engineering), Digital Marketing Specialist, Business Developer, or Customer Success Manager, these employees contribute to the wealth of a secure, high-performance software product. Recruitment accelerated in 2022, intending to build a team of 20 employees by 2024. Widely adopted in French-speaking Switzerland, WEDO has been gaining ground in German-speaking Switzerland since the hiring of Business Developers in 2020. Our ambition is to continue our expansion in German-speaking Switzerland and internationally.

WEDO Ltd operates mainly in Switzerland, covering various industries, including healthcare, the public sector, finance, and construction. Today, WEDO is used by some 500 organizations in 18 different sectors.

![Employees_en.png](https://wedo-assets.sos-ch-gva-2.exo.io/Employees_en_5676cb8f03.png)

The transformation of WEDO from a limited liability company to a public limited company is part of this growth strategy. By increasing its share capital, WEDO aims to reassure and establish the credibility of its business model. It's a business model that quickly proved to be a winner and which has more or less retained its initial structure since the beginning of the adventure: a system of annual subscriptions paid per user, giving access to the platform's full range of functions.

![Chronology_en.png](https://wedo-assets.sos-ch-gva-2.exo.io/Chronology_en_6c2afd656f.png)

**Next steps**

In addition to its capital increase and the long-awaited acquisition of wedo.com, the development teams have recently focused on extending the platform's functionality. While the platform defied all competition regarding meeting management, it will soon launch a new, more powerful version for project management, ready to challenge its American competitors.

Fribourg SME WEDO is doing well and has decided to consolidate its place in the Swiss economy by changing its legal form.

Welcome 2022 : back to 2021

Security is an integral part of our DNA, both in our products and in our internal processes. Whether it's your company data or your users' data, you trust us to protect your most important information. That's why security and privacy have always been top priorities. From the beginning, we've worked closely with experts on application security assessments, security architecture reviews, and network penetration testing.

Today, we are pleased to announce that we have received our SOC 2 Type II report, reaffirming our commitment to security and making all of our security efforts transparent to our users. As the engineer responsible for our SOC 2 technical controls, I'm here to explain in detail what this means for you and how we protect your data.

## What is SOC 2 Type II certification?

The SOC 2 Type II audit is an industry-recognized security certification for software-as-a-service (SaaS) companies. It validates that your data is secure, safe, and controlled with WEDO. The 6-month long audit involved a thorough analysis of our controls, the tests we perform to assess their effectiveness, and the results of those tests.

## Why SOC 2 now?

As remote working has become the norm, employees need to be able to access work data securely from anywhere. For many early-stage startups, it’s tempting to treat security as an afterthought. After all, growth comes first, but we can’t just ignore the seriousness of security. With many recent examples of security breaches, nobody can ignore the cybersecurity threats.

Through this process, we were able to prove our dedication to protecting customer data, ensuring our systems are reliably built, and creating a secure product while scaling.

### What is the content of the report?

In essence, this report confirms that WEDO meets the highest industry standards for information security. It was written by a rigorous independent auditor, and includes detailed explanations of our:

* **Strong authentication controls and limited access to data** \- We request strong authentication on all critical systems, and limit access to customer data to those who need it to do their job.
* **Continuous monitoring of controls and response to incidents** \- We conduct ongoing compliance monitoring to ensure that the key configurations underpinning our controls are in place, and that we are able to respond quickly to any issues that may arise.
* **Employee Safety Awareness** \- We conduct background checks on employees prior to hiring and provide safety training at onboarding and on an ongoing basis.

### Ongoing efforts

SOC 2 compliance is not a one-time thing, it's a commitment. And we must remain flexible as we evolve. As we hire more people in more specialized roles, the SOC 2 process will help us establish checkpoints and ensure that security defines every move we make.

If you are a WEDO customer and would like to learn more, contact us via support or by emailing [security@wedo.swiss](mailto:security@wedo.swiss) to request access to our full SOC 2 Type II report. And if you are considering integrating WEDO into your organization, you can contact the sales department [here](/contact).

For more details on our security and privacy commitments, click [here](/security). And of course, we are always happy to answer questions on this or any other topic at [info@wedo.swiss](mailto:info@wedo.swiss).

Security is an integral part of our DNA, both in our products and in our internal processes. Today, we are pleased to announce that we have received our SOC 2 Type II report, reaffirming our commitment to security and making all of our security efforts transparent to our users.

## And on our side?

According to the objectives we set ourselves in 2019, we welcomed three new employees in 2020\. In January, Chris Rohrbach joined our team as _Customer Success Executive_. You may have had the chance to take advantage of one of his trainings and maybe even share a coffee with him since he is in charge of monitoring and training WEDO users. To extend the use of WEDO beyond the Röstigraben, we then welcomed Michael Stadler from the canton of Thurgau in May 2020\. Finally, Sabrina Leva from Zurich joined us at the beginning of September. Both have strengthened the _Business development_ team. Today, four team members are responsible for the distribution of our tool.

The team is currently composed of 6 employees: two Sales Reps, two Software Developers, a Customer Success Executive and a Community Manager. For 2020, we want to surround ourselves with new collaborators to achieve our goals while ensuring quality customer service.

One of our missions for this coming year will be to extend our solution beyond the famous _Röstigraben_. Currently, we mainly have clients based in the French-speaking part of Switzerland, although our tool is available in German and English.

In 2020, we will continue to improve our tool to allow an increasing number of organizations to simplify their collaboration. We want to provide a tool that is efficient and intuitive. Retrospective 2018

Since its inception, WEDO Sàrl has had the firm intention of developing a 100% Swiss tool. The _swiss made_ represents our corporate culture and our vision. In this sense, we are committed to carrying out all our activities in Switzerland. This means that :

* The company was founded in Switzerland (the legal aspects are therefore guaranteed under Swiss law)
* The hosting of the data is carried out entirely in Switzerland (in Zürich and Geneva, by CloudSigma / ISO/IEC 27001 certified).
* The development is carried out in Switzerland (job creation in our region, control of the development process)

We are convinced that here we have all the necessary elements to create a quality, flexible and innovative product.

With this idea in mind, **WEDO** has recently been awarded the **swiss made software** label ([swissmadesoftware.org](https://www.swissmadesoftware.org/home.html)). More than 240 companies have joined the label since its creation in 2007\. The three main conditions for obtaining the label are as follows:

* At least 60% of the production costs must be generated in Switzerland (100% for WEDO).
* The main steps of the manufacturing process must take place in Switzerland (100% for WEDO).
* The company must be registered in the commercial register.

The label **swiss made software** is dedicated to the promotion of the Swiss software sector in Switzerland and abroad. It is associated with values such as: quality, reliability and precision - especially in software development.

![](https://wedo-assets.sos-ch-gva-2.exo.io/2016_07_swissmadesoftware_logo_ac89fa2e15.png)

We are happy to obtain this label representing our philosophy. The ideas that make up our company and our vision are thus represented by this red logo.

Our company, its development and the hosting of our application are 100% Swiss.

Next webinar | Meetings: Edit Your Meetings Like an Expert

Every day, we juggle a series of tasks, from answering emails and attending meetings all the way to cooking dinner or finally folding that pile of laundry staring us down for days. Task management is everywhere around us, whether we realize it or not.

But here's the catch: managing tasks is more than checking boxes. It's making sure the right boxes are checked at the right time, by the right people.

For individuals, good task management can mean less stress and more time to spend on what matters most to them. For teams and organizations, it's the difference between controlled chaos and seamless collaboration. When done well, task management becomes a superpower, moving businesses toward growth and ensuring projects are delivered on time (and with fewer sleepless nights).

In this guide, we're going to explore strategies, tools, and best practices that turn task management into a fine-tuned system. Whether you're wrangling your own to-do list or leading a team toward big goals, this can be your roadmap to staying on top of your game.

Let's get started!

The Ultimate Guide to Task Management: Strategies, Tools, and Best Practices

## **Efficient Construction Project Management: Control Your Architecture Projects with WEDO**

In an architecture firm, every project is a journey—from initial concept to final sign-off. Yet, between team meetings, client alignments, contractor coordination, and schedule tracking, project management can quickly become overwhelming. Scattered files, overflowing inboxes, and manually compiled meeting minutes slow down your creativity and put your deadlines at risk.

Construction projects present several key collaborative challenges:

1. **Orchestrate multi-stakeholder collaboration and master information**

Centralise document versions, decisions, and responsibilities to avoid duplicates, data loss and miscommunication.

2. **Meet deadlines and control variances**

Visualise key milestones, track dependencies, and receive notifications to keep projects on schedule.

3. **Ensure compliance and structure construction business processes**

Plan regulatory steps (permits, tenders, safety) using standardised checklists and a clear audit trail.

4. **Manage contractual risks and clarify responsibilities**

Clarify project scope, document changes, and archive decisions as formal proof.

5. **Align the project teams operationally**

Assign the right task to the right person at the right time with the right information—and host effective meetings.

6. **Promote seamless external communication**

Structure communications with clients, consultants, and contractors to ensure full traceability on decisions.

7. **Tracking overall project progress**

Rely on a clear dashboard (workload, progress, priorities) to make fast, informed decisions.

What if you could centralise all these aspects in a single, intuitive, and collaborative space?

In this article, discover how WEDO helps you manage your architecture projects from start to finish—from initial design all the way to final handover. The tool becomes your digital master plan to streamline communication, coordinate teams, and maintain control of every stage of the project.

In this article, we show you specifically how an architecture firm can leverage WEDO to turn project management into a true competitive advantage.

![WEDO-architectes-0-intro-en.png](https://wedo-assets.sos-ch-gva-2.exo.io/WEDO_architectes_0_intro_en_fcefcce8a9.png)

## **Architecture & construction: manage your projects with WEDO**

In a Swiss architecture firm, most projects follow the established framework of SIA 102. This standard outlines the stages of a project by structuring them into 5 key phases, which serve as a common thread from the start to the end of the mandate:

1. **Strategic definition:** Statement of requirements and methodological approach
2. **Preliminary studies:** Construction project definition, feasibility study, and consultant selection procedures
3. **Project development:** Preliminary design, final design, and planning permission procedure
4. **Tendering:** Tenders, bid evaluation, and award proposals
5. **Realisation:** Execution design, construction execution, commissioning and handover

The real challenge isn't reinventing the process every time, but applying it consistently and on schedule from one project to the next.

This is precisely where WEDO delivers real value: providing a stable, unified framework that structures your project management. Meeting minute templates, checklists tailored to your project phases, clear ownership, and centralised tracking ensure you meet critical milestones and maintain consistent oversight—regardless of team size or project complexity.

The result: fewer omissions, fewer budget or schedule variances, higher repeatability, and consistently high execution quality from initial draft to final handoff.

## Create a "Project Template" workspace tailored to your internal structure

To keep your project tracking consistent, start with a template workspace built around your key phases, milestones, and tasks. You'll standardise your approach and ensure smooth execution across every project. 🚀

**For each new project, just duplicate the template to get started right away with seamless, end-to-end tracking.**

**Key steps to build your template space in WEDO**

1. **Structure phases using sections**

Create one section per project phase to establish your framework —for instance, aligned with the SIA 102 phase structure.

2. **Import/create tasks for each phase**

Define the actions required at every step.

💡 *If specific tasks are always handled by the same people, assign them directly within the template space.*

3. **Set milestones to highlight key moments**

Milestones serve as core reference points within each phase—such as completing the preliminary study, kicking off the design phase, or securing final sign-off upon completion.

💡 *You can assign a milestone to a responsible person to ensure completion, and set a target date if needed.*

4. **Choose the relevant tabs for your template workspace**

Select the active tabs and set your default view. For project management, we recommend enabling:

    - **Overview:** Description, team members, status, charts, and overall progress
    - **Meetings:** Preparation, execution and follow-up for your project meetings
    - **Tasks:** List, Kanban, or Table views, with sorting and filtering tailored to your needs
    - **Gantt:** Timeline planning for your project tasks
    - **Files:** Shared documents and essential links
    - **Activity feed:** Stream of key updates (status changes, notes, completed tasks, comments, decisions)

## Assign a status to each project and get an instant full-picture view

Because architecture and construction projects move through clear stages, WEDO lets you define statuses right at the workspace level—pairing each update with a note or key information visible to all team members. Learn in detail how to manage your projects effectively without losing sight of what matters most.

In the rest of the article, we highlight WEDO’s essential features for project communication (shared statuses, meeting minutes, custom views, and filters) to ensure clear, traceable, and accessible information for the entire team.

### Activity Feed

The activity feed centralises everything happening in your workspace in real time. At a glance, track updates, decisions, and discussions without navigating through multiple tabs—giving you a clear, hassle-free snapshot of your project's progress. Through the activity feed, you can:

- **Consult the history of project status updates**
- **Access global project notes in a single click**
- **Track the latest completed tasks**
- **Browse comments posted within tasks**
- **View decisions recorded during follow-up meetings**

### The Overview Tab

In the **Overview** tab, start by defining the framework: describe the project objective, scope, major constraints, and upcoming milestones in a few lines. Then identify the team: name the project managers as moderators and clarify each person's role so everyone knows **who leads, who contributes, and who approves**.

The latest status is displayed right at the top of the tab, giving all stakeholders immediate visibility into where the project stands and which updates were recently published. This view also highlights the project start and end dates, providing instant context for the overall timeline.

Two key charts immediately reveal the project trajectory: the **burndown** shows the speed at which remaining work is reduced (adherence to deadlines, execution pace), while the **burnup** reveals actual progress against total scope. These charts make it easy to spot deviations, anticipate risks, and keep the team fully aligned on the final goal.

### Project Portfolio View

In WEDO, you can create a team that brings together multiple projects and obtain, at a glance, a global overview of progress based on the percentage of completed tasks. This summary view displays each project's title, overall progress, current status, due date, and moderators—typically the project managers. It is **perfect for prioritising, detecting gaps, and managing your portfolio without losing track.**

### **Sorting Projects by Progress, Status, or Due Date**

From this overview, sort your projects in a single click on the column header:

- **display them based on their progress percentage**
- **classify them by status** — to quickly group files that are "on track", "at risk", "delayed", "on hold", or "completed".
- **or by due date** in chronological order (ascending or descending).

This overview is **ideal for bringing emergencies to the surface, planning priorities, and keeping a clear view of all ongoing projects.**

![WEDO-architectes-4-status-en (1).png](https://wedo-assets.sos-ch-gva-2.exo.io/WEDO_architectes_4_status_en_1_2e28d9ef68.png)

## **Structure, Decide, Track: Your Project Meetings Optimised**

WEDO’s Meetings module serves as your cockpit for project follow-ups. Prepare agendas as a team (topics, attachments, objectives), frame sessions using reusable templates tailored to key phases, then decide and track: every important decision is recorded, timestamped, linked to the project, and accessible to everyone.

🎯 **The Goal:** Systematically track client discussions to showcase superior follow-through and strengthen long-term client relationships.

#### Turn discussions into actionable plans:

- **In-Meeting task assignment:** Create and assign tasks directly during the meeting by setting clear owners, deadlines, and priorities—instantly turning talk into execution.
- **One-click minutes:** Generate complete meeting minutes with a single click and distribute them immediately to all key stakeholders.
- **Seamless continuity:** Transition effortlessly into execution tracking using your preferred view—List, Kanban, Table, or Gantt chart.

**Result:** Shorter meetings, binding decisions, and project execution that never gets lost in email threads.

## **Collaborate with External Stakeholders**

Engineers, engineering offices, specialised consultants, and external partners: WEDO enables you to effortlessly integrate external team members into your architecture projects while maintaining complete control over access permissions and content.

🔒 **Full Access Control:** Precisely define who can view, edit, or contribute to specific workspaces, tasks, and documents.

#### How to Streamline External Coordination:

- **Controlled access to project workspace:** Invite your consultants as external users and give them access strictly to the workspace of the project relevant to them. They can consult the context, review key documents, and track overall progress across every project phase.
- **Task delegation and tracking:** On the task management side, delegate actions by setting clear assignees and due dates. Every stakeholder knows what is expected, giving the team a shared, up-to-date view of overall progress.
- **Flexible meeting access controls:** Flexibly manage permissions for agendas and meeting minutes. Grant external partners editing rights to contribute agenda items, or set read-only access depending on the project phase.
- **Centralised document management:** Attach blueprints, technical documentation, and files directly to tasks, meetings, or shared project repositories.
- **Centralised communication:** Use built-in task chats and protocol comments to streamline communication with external planners, eliminating scattered email threads and ensuring complete decision traceability.

>
> Active in the construction sector, we handle SIA phases 1 through 5 across several cantons. To reduce wasted time and clarify information handover, we needed a tool to help us restore order and maintain a clear vision of everything we do—especially at a time when procedures are becoming increasingly heavy.
>
> With WEDO, we are finally able to structure our projects in a simple way. We directly see the phases, tasks, who is doing what, and how things are progressing. Frankly, it changes everything: we feel better organised and avoid misunderstandings.
>
> Collaboration at the firm has truly evolved since we started using the platform. Exchanges are smoother, everyone knows where others stand, and that allows us to be more responsive. We communicate better!
>
> For meetings, WEDO has become a real reflex. We prepare our agenda items in advance, log decisions and tasks during the discussion, and then easily track what needs to be done. Whether among ourselves or with clients and external partners, it helps us stay aligned.
>
> Honestly, the main benefits for us are saved time, clarity, and peace of mind. We feel more organised, track our projects better, and collaborate much more efficiently—both internally and externally.

ISO/IEC 27001 Certification: WEDO Reaches a Key Milestone in Information Security

In the fast-paced world of administrative management, executive assistants play a crucial role. The Swiss army knives of any organization juggle many tasks and deadlines while supervising those of others. Faced with these challenges, they often find themselves overwhelmed by routine, repetitive responsibilities. We immersed ourselves in the daily lives of 6 executive assistants who use the WEDO platform to understand the workings of their organization, the challenges they face, and the tools they have put in place to facilitate their management.

According to our study, the most time-consuming tasks for executive assistants revolve mainly around administrative functions. These activities, while necessary, tend to monopolize a significant proportion of their working time, preventing them from concentrating fully on more crucial aspects of their role, such as operational and strategic development.

Among the most time-consuming tasks in their job descriptions, the executive assistants surveyed identify the following:

**1. Meeting preparation:** preparing agendas and presentation documents, taking and sharing minutes, following up on decisions and tasks delegated at meetings,

**2. Diary management and meeting organization:** planning and coordination of appointments, team meetings, and conferences, taking care to avoid scheduling conflicts,
**3. Document preparation and management:** drafting, proofreading, and organizing important documents such as reports, presentations, correspondence and contracts,

**4. Project coordination:** managing and following up on specific projects, liaising between different departments, and meeting deadlines.

Internal and external communications, administrative support, and human resources management closely follow those.

## How to lighten the administrative load for an executive assistant?

When asked what tools were used to monitor collaboration before WEDO was integrated, the most common programs were Outlook, Word (for taking minutes), and Excel. However, these tools had significant limitations. Respondents reported difficulties related to the cross-functionality of information between different team members. For example, these tools were not conducive to **active, real-time collaboration when taking PVs**, making this task often cumbersome and time-consuming, and necessitating numerous round-trips. The systematic use of e-mail to distribute these documents wasted considerable time without guaranteeing effective communication.

Furthermore, the limited nature of these tools prevented efficient tracking of tasks and projects. Users faced significant challenges maintaining a clear, up-to-date overview of projects. In short, although these tools are widespread and familiar, their use in team collaboration and project management needs to be improved.

This situation underlines the importance of cross-functional tools and solutions to lighten the administrative workload. With the implementation of WEDO, the executive assistants surveyed were able to optimize their administrative processes.

### 1. Meeting preparation and management

![computerized agenda for real-time note-taking](https://wedo-assets.sos-ch-gva-2.exo.io/reunion_ENEN_aad2ef7f0e.png)

One of the most time-consuming aspects of the job is the preparation of meetings. With WEDO, executive assistants benefit from automated management and considerable time savings in preparation and follow-up. The platform enables uniform management of minutes, clear distribution of post-meeting tasks, and automatic tracking of topics from one session to the next. Users report an average time saving of 55% for these tasks.

![save time spent on meetings](https://wedo-assets.sos-ch-gva-2.exo.io/55_ENEN_83c8604c19.png)

WEDO's meeting module lets you integrate blocks of paragraphs, tasks, file attachments, personal notes, votes and signatures, among others.

![testimonial Regula Oberdorfer](https://wedo-assets.sos-ch-gva-2.exo.io/Regula_Oberdorfer_ENEN_1a54d3c30f.png)

### 2. Project management and task tracking

![efficient task management](https://wedo-assets.sos-ch-gva-2.exo.io/tasks_ENEN_be99588a59.png)

Project management and tracking represent another major challenge. WEDO simplifies this task by offering clear delegation possibilities, the creation of checklist templates to standardize processes, and real-time task tracking. This leads to better prioritization and more efficient day-to-day management.

![testimonials Aline Volery and Nicole Thalmann](https://wedo-assets.sos-ch-gva-2.exo.io/testimonials_Aline_et_Nicole_ENEN_11a8dc6cff.png)

### Use case: facilitating HR processes and the transmission of specifications

When executive assistants are involved in HR processes, the integration of WEDO proves to be a major asset. The platform makes it possible to standardize on-boarding and off-boarding procedures by means of specific checklists. These checklists, drawn up for each stage of the process, automatically assign the relevant tasks to the team members concerned. This method ensures structured, efficient management of personnel transitions, eliminating the operational uncertainties often associated with the question "What steps should I take?".

By simplifying these processes, WEDO not only eases the workload for HR managers, but also contributes to a clear, documented handover of tasks and knowledge from one employee to the next.

![simplified hr processes](https://wedo-assets.sos-ch-gva-2.exo.io/Modeles_checklists_ENEN_fdf58af70f.png)

One of the decisive advantages of WEDO, highlighted by our management assistants, is the ease with which recruitment interviews can be documented in real time. Each exchange can be recorded directly in a standardized (and customized if required) agenda, enabling these interactions to be saved methodically and instantaneously.

### 4. Transmission of information

WEDO lets you link documents to tasks or meetings, ensuring that all the necessary information is in the right place. Global search makes it easy to retrieve documents, and to find a specific file based on a keyword found in the PDF file.

In terms of communication, WEDO users particularly appreciate the immediate visibility of entries and the ability to restrict access to certain information.

![Alexandra Locher](https://wedo-assets.sos-ch-gva-2.exo.io/Alexandra_locher_ENEN_e53527e95c.png)

**We asked our users to rate the platform on a scale of 1 to 10, to qualify the positive impact WEDO has on their daily tasks.**
