## Voting in meetings

During a meeting, the participants' opinion is frequently requested to facilitate the decision-making process. **Voting** is an excellent way to reach a clear and transparent decision.

The WEDO collaborative platform includes a new feature that allows you to collect votes within your organization efficiently. Let's find out together what is included in this update. 👇🏻

## Digital voting with WEDO

### Add a vote

🗳️ A new block has been added to the editor so you can integrate a vote into your meeting.

Insert a **Vote block** in the topic of your meeting agenda, then enter a _Title_ and a _Description_ to formulate the purpose of the vote:

### Define answers

From the voting details panel, enter the possible answers. _Yes_ and _No_ are added by default. If needed, click on the field to change them manually or add other answers.

### Manage abstention

If participants have the right to abstain from voting, check the **"Can abstain"** option in the voting details panel.

### Prepare for the voting decision

While preparing a vote, you can already add a **Decision**. When the time comes, you will only have to validate the final decision, which will be added with one click to your meeting minutes. By doing so, you will save precious time during the minutes taking process.

### Choose how to collect the answers

#### **Option 1 | Direct vote : participants add their answers**

Do you want to encourage a collaborative vote so participants can enter their answers independently? Then choose who can vote by checking the "Vote" option for authorized participants:

🔔 When the meeting is "Validated”, users receive an instant notification and can access all the votes they need to vote on with one click.

🚨 Users haven't voted yet as the deadline approaches? **Send an email request for a vote** to invite them to express their opinion!

#### **Option 2 | Proxy vote : the organizer votes for the participants**

Depending on your internal process, it is possible that you carry out votes by show of hands during your meetings or that the organizer wishes to keep the writing on the final entry of the results in WEDO.

The meeting editor can then **Edit results**.

ℹ️ To ensure full transparency, it will be stated that X voted on behalf of Y.

#### **Option 3 | Absentee voting: vote collection**

With this collection method, the vote is not nominative; it simply expresses a percentage according to the possible answers (on 100 voters, we collected 60 _Yes_ against 40 _No_).

Thus, after a postal survey, you can record the result of the vote in your meeting minutes after the votes have been counted. Enter the number of votes received for each answer:

### Close a vote

If you want to manage the response time of a vote, you can close it at the appropriate time. However, participants will no longer be able to vote after it is closed.

📅 When setting up, you can also set a due date for votes for a meeting.

## Use Case: Efficiently manage votes for your boards of directors

With this update, WEDO improves the voting system for your board of directors by offering a simple and efficient digital alternative. During these meetings with a very specific functioning, the shareholders or associates are frequently brought to vote in order to make decisions. The **voting** functionality integrated in the meeting module favors this type of use. WEDO also offers advanced options that will speak to all members of a board of directors. For each meeting, the editor can :

* Allocate shares according to the decisional weight of each voter,
* Require a quorum (minimum number of shares based on those present at the meeting),
* Allow anonymous voting,
* Hide the results of the vote from the participants until the vote is closed.

Each workspace in WEDO allows you to share files with the members concerned. For example, in the Files tab, you will find :

* **Files shared** with the workspace: user can easily link them to the tasks or meetings concerned.
* **Files not shared**: find here all the files only attached to the meetings and tasks of the workspace.

## Manage the duration of your meetings

WEDO's mission is to optimize the duration of your meetings. This new update is in line with this ambition! You can now set the time allocated to each topic on your agenda. This way, you can keep an eye on the duration of your meeting and make sure that you deal with all the points within the maximum time limit. Discover also the latest optimizations made to the meeting module in order to facilitate even more the management and the follow-up of meetings.

## What are the new features to discover?

### Set durations for your topics ⏳

Define a duration for each topic. The time in which you should address the topic is displayed in your table of contents.

💡 You can manually add a duration to each topic or distribute an identical duration to all topics in your meeting. With one click, you can easily reset the duration calculation!

If the total duration of your topics exceeds the time allotted to the meeting, the timing appears in red in the topics that cannot be treated within the defined duration. At the bottom of the agenda, you will find the time per topic according to the total duration of the meeting.

## Easily rule on your topics during the meeting

### Recurring topic 🔁

In your weekly meeting, a topic comes up on the agenda every week? Make this topic recurring so that they automatically appear on the agenda of upcoming meetings.

💡 An icon 🔁 appears in the table of contents to see which topics are recurring. When the icon turns blue, it means that you have dealt with a recurring item during the current meeting. The blue icons therefore correspond to the stage _Ongoing_.

ℹ️ If the icon is grayed out, it means that you have simply scheduled the recurrence of the topic but have not yet ruled on it in the current meeting. The grayed out icons therefore correspond to the stage _Preparation_.

### Address topic ✅

During the meeting, move through your agenda by clicking on **Address** when a topic does not require further discussion. In the table of contents on the left, the topics you have dealt with are followed by an icon ✅.

💡 The green icon informs you that this topic has been dealt with and will not be revisited at a future meeting.

### Revisit a topic ➡️

It often happens that a topic is discussed at several meetings. Click on **Revisit** if you wish to discuss the topic again during the next meeting. From the button with the three vertical dots **`⋮`** you can choose when you want to revisit the topic.

💡 An icon ➡️ appears in the table of contents for all reviewed topics. When the icon turns **blue**, it means that you have dealt with a reviewed item during the current meeting. The blue icons therefore correspond to the stage _Ongoing_.

# What are the advantages of this update? ✨

* You can carefully manage the duration of your meeting by allocating time to each topic on your agenda.
* You can quickly see if the number of topics and their duration exceed the total time dedicated to the meeting.
* Thanks to the icons in the table of contents, you can see if the topic is recurrent, reviewed or treated.
* The colors of the icons in the table of contents allow you to see if the topic is scheduled as _recurring_ or revisited (gray icon) or if you have decided on the topic during the current meeting (blue icon).
* You only display what is useful to you on your interface - you can hide the meeting templates and the training integrated in the footer.

## The new meeting module is online!

A core mission of our collaborative solution is to enable organizations to manage their meetings easily and efficiently. To keep our promise, we are continuously improving the meeting module. _Meeting Topics_ is the codename for this update, which includes many new features in this module. New concepts are also introduced as part of this update. In this article, you can discover all the innovations we have developed to make it easier for you to manage your meetings

## What are the new functionalities?

### Recurring meetings

Do you manage weekly, monthly or quarterly meetings? Use the recurring meeting feature to schedule your meetings in advance! Your meetings will have a consistent structure and you can choose during the meetings which topics to be discussed in the next meeting.

### Follow-up a meeting

Your meetings do not take place in a regular rhythm? You can still create the meetings in advance. Add already a meeting based on the previous one.

### Navigation between meetings

Whether recurring or sequential meetings: You can switch between meetings with the new buttons in the top left and top right. A banner then also shows you whether you are in a past or future meeting and allows you to return to the current meeting in one click.

### Multi-level agenda: Introduction of sections

Sections allow you to structure the agenda. In them, the topics can be structured properly. You can create an agenda with multiple levels by adding additional sections (1\. - 1.1 - 1.1.1 etc.). 💡Do you have all agenda items on the same level? Then you can easily add only topics.

ℹ️ The content of an agenda item is added to the topics in each case. The sections are exclusively to structure the agenda.

### Introduction of the "Topics”

#### What is a topic?

The topics are contents to work on during a meeting. They represent the items on the agenda to be discussed.

#### Recurring topics

Do you have an item in your weekly meeting that you want to discuss every week? Turn on the recurrence for this topic so that it is automatically scheduled in each upcoming meeting.

#### Addressed topics

If you have completed an agenda topic during the meeting, we recommend confirming this by clicking on Address and moving on in the agenda list. On the left side in the overview, you can see by the gray symbol ✅ which topics are completed.

#### Revisit topic

It often happens that a topic needs to be discussed again in the next meeting. In this case, you can click the Revisit button.

👆🏻 Good to know:

* Whether recurring or consecutive meetings: The topic does not necessarily have to be discussed in the next one. With a click on **⋮** the relevant meeting can be selected.
* A topic that is revisited again also automatically receives a gray check mark in the overview. In this way, you can make rapid progress in taking minutes.

#### Postpone a topic

You don't have time to deal with a topic during your meeting? Postpone it to a future date! The topic will be moved to the agenda of the selected meeting.

#### Add several presenters

It is now possible to add several presenters for the same theme.

#### Navigate between topics

Navigate between the different topics using the table of contents. In the card view, you can also use the left or right arrows to go to the previous or next topic.

### Reviewing of the editor

#### Blocks

Hover over the left margin and click on the + button to add a block in a topic.

#### Adding blocks using the command "/"

Use the command to add blocks. Type **`/`**, followed by the first letters of the block name you want to add and press `enter`.

👍🏻 No need for your mouse anymore! 🖱️This option saves you precious time when writing your meeting minutes.

#### See "Who created / modified text?"

Hover over a block to see who created or edited it.

Consult the history to see the modifications of the topic's content.

### Role-based and section-based rights management

#### User roles

By default, there are 4 roles in WEDO:

* **Editor**
* **Participant**
* **Reader**
* **No access**

For each of these roles, rights are set by default. Click on a role to view the details of the access rights and the different options. If necessary, you can modify the rights of the **Participant** and **Reader** roles by checking the desired options according to the stages of the meeting.

#### Add a role

In some use cases you may need an additional role, for example to manage the rights of external participants. You can then **add a role** and set the appropriate parameters.

One of the participants cannot access all the items of your meeting? Choose their role for each section of your agenda.

### Next meeting: import content or start from scratch

You can now decide for each topic if you want to import content from the previous meeting or start from scratch. 👆🏻

### Preview of the agenda before importing

You already have an agenda in a Word document or any other medium? Paste it into WEDO to create your table of contents in a few clicks. View the result and choose what you want to import.

### PDF export and layout

The configuration of the PDF export of a meeting has been greatly improved!

* Choose what you want to display (elements, sections and topics, blocks)
* Include attached files at the end of the document

### Filters on the Meetings tab

The Meetings tab has new default filters. From a specific workspace or from your personal space, find the **Upcoming**, those of **This week** and the **Past** meetings.

### New search by topics and blocks

🔎 Easily find the information documented in your meetings. The keyword search is now more contextual with the **Topics** tab and more precise with the **Meeting** Blocks tab.

## Manage your project

WEDO improves and facilitates the management of your projects. Through this article, discover the new features available online.

- Plan your projects and follow up on their tasks
- Add statuses to keep your team informed about the progress of the project

### Plan your project
You can define a start date and a due date for a workspace if it represents a project. By limiting the duration of your project, you allow all the members of your team to keep the objectives in mind while respecting the time allowed to achieve them. If necessary, it is possible to modify these dates at any time. The date of your project passed while tasks were still in progress? You can see how many days past the deadline. Keep your team on track and complete your projects on time!

### Manage tasks
Assign project tasks to your team members to keep them informed of the work. In addition to giving your workspace a deadline, define the deadlines for each job to best plan your project. This way, your colleagues will know exactly what is expected of them.

### Keep your team informed

Do you have a critical piece of information to share with your team about the project at hand? Then, add a status to your workspace to notify your colleagues. To help, there are 3 types of status:

- **On schedule:** your project is going well, you can add a title and a description in the status to specify the project phase, for example.
- **At risk:** the project's progress is threatened, you can inform your team about the reasons for this update.
- **Late:** the due date will not be respected, you can inform your team about the reasons for this delay and update the due date if necessary.

As mentioned, when you define a status, you can add a title and a description so that your team is always informed of possible changes impacting the project's progress.

### Check your project's progress
To give a quick overview of your project's progress, a progress bar changes as tasks are completed. This view allows you to see a project's significant status updates quickly. In addition, the system shows the number of tasks in progress and finished and the number of days remaining before the project deadline.

## Manage all your projects
You are responsible for several projects and need a quick overview of their progress? WEDO allows you to view your workspaces in two different ways:
- **In mosaic:** the spaces are represented in the form of cards
- **In list:** the workspaces are listed, and you can sort them by name, status, progress, or deadline.

For both types of display, a progress bar informs you of the progress of each project, whether it has a deadline (blue gauge) or is ongoing (gray gauge).

## 3 - Subscribe to a workspace

## 4 - Sort your search results

When your network is well provided, it is sometimes complicated to find the right information. In order to facilitate this work, you can now sort your search results according to different sorting modes:

* For tasks > by status, planned date, or due date.
* For meetings > by relevance or by date

## 5 - Search through paragraphs

Via the [global search](https://help.wedo.swiss/fr/articles/2614124-la-recherche) you can now search through the paragraphs of your meetings. This makes it much easier to quickly find the right information!

## 6 - Reschedule a checklist

You need to [change the reference date](https://help.wedo.swiss/fr/articles/3749044-modifier-la-date-de-reference-d-une-checklist) of a current checklist? Enter the new date so that all current tasks are automatically rescheduled according to it!

## 7 - Add private notes at each step of the meeting

You can personally annotate a meeting regardless of its stage and your access rights. This allows each participant to efficiently prepare their interventions directly from WEDO.

## 8 - Go to the teams page

Access a page grouping [all the teams in your network](https://help.wedo.swiss/fr/articles/3742172-la-page-des-equipes) to get an overview. Filter teams using the Member / Non-member / All buttons. Choose your favorite teams by clicking on the heart icon. These are displayed in your main menu on the left side of the screen so that you can quickly access them.

## 9 - Joining a team

[Ask to join a team](https://help.wedo.swiss/fr/articles/3742258-rejoindre-une-equipe) in your network to collaborate with your colleagues. The moderators will then have to approve your request and you will be able to access the workspaces and checklist templates of the team concerned.

## Rights management in meetings

In order to make meeting access rights even more flexible, we have added an option that will allow you to choose the specific items to which an attendee can have access. Here are the different access rights that are available:

### Manage rights for each item

When you select the purple option to manage rights specifically, you must define the attendee’s access rights for each item. 

In the following example, _Cécile Mayor,_ quality manager, has access to most of the items in read-only mode and can edit items 3 and 5\. However, she will not be able to see the _Finance_ and _Human Resources_ items.

### Manage rights according to the meeting status 

You can also set the access rights according to the status of the meeting. By default, those having editing rights (green icon) can modify the items in each step. For instance, _Christiane Pittet_ can modify the content of the meeting regardless of its status:

1. Meeting agenda in preparation
2. Meeting agenda validated
3. Meeting minutes currently written
4. Meeting minutes in review

However, if you do not want _Christiane_ to be able to edit the meeting agenda once it has been validated, you can modify the access rights according to the status of the meeting. Hence, attendees will only have reader rights once the meeting agenda has been validated.

For attendees who have reader rights only, you can prevent them from seeing the meeting agenda at certain steps. This can be useful if you wish that the draft steps (1 and 4) cannot be seen by other attendees.

## Complete tasks

From now on, complete your tasks by selecting the check boxes that precede them. Please note that you can always prioritize your tasks : the option to define a priority has simply been moved to the end of the line.

## Terminology changes

Our terminology has been adapted. **Paragraphs** allow you to add a text box visible to all the attendees of a meeting. **Notes** are private and only visible to the user who adds them. An easy way to distinguish them is by their yellow background.

## Private notes

From now on, it is possible to add private notes to the items of your meeting agenda. This allows you to prepare your interventions for the upcoming meeting or to add private notes during the meeting.

## Converting elements

If you wish to share your private note with the other attendees, you can simply convert it into a paragraph.

## Ordering items

It is possible to order all the items of the meeting. Simply drag and drop an item to reorder it.

## Option « Table of attendees »

If you wish to have a detailed contact list of the meeting attendees, there is an option accessible through the settings of a meeting.

By selecting « extended table view » in the settings of the meeting, the table will appear in steps 2, 4 and 5\. The coordinates of the attendees are listed according to the information of each user’s profile.

During the editing steps, the meeting agenda in preparation and the drafting of the meeting minutes, you can manually edit an attendee’s contact information. It is also possible to change an attendee’s function for a specific meeting.

## Link between a task and a meeting 

Tasks created in a meeting have a link in their details pane that allows you to easily access an item of the meeting agenda. This will allow you to view the task in its context of creation.

## General ergonomics

### Use the new + button to easily create content. 

You can create your **Workspaces**, **Checklist templates**, **Teams** and **Users** from the + button which is found in the heading at the top of the page.

### Take advantage of the shortcuts in the main menu

Three buttons have been added to the menu for an easy access to the **Workspaces** and **Checklist templates** to which you have access, as well as to the **Users** page.

## 1 - Choose the density when exporting a report

More flexibility in the layout of your reports! Choose now the density of the exported document. Three densities are offered during configuration: compact, normal or wide.

## 2 - Assigning a logo to a team or workspace 

Until now, the logo of your organization chosen via the network settings was included in the header of all documents exported from WEDO. So that you can customize your exports - task lists or meeting minutes - you can now: assign a logo to a team and/or assign a logo to a workspace.

The choice of the logo is made from the parameters. Please refer to the following two articles to discover the functionality in detail :

## 3 - Duplicating a workspace

With this update, you can now [duplicate a workspace](https://help.wedo.swiss/fr/articles/3284132-dupliquer-un-espace-de-travail). Duplication allows you to create a new workspace and take over all tasks and the contents of their detail panes. Completed tasks are also resumed.

### What are the benefits of this feature?

When setting up the network, you will save valuable time by duplicating workspaces that have a similar structure. It will not be necessary to set them up manually one by one! 

Another use case: in your network, many workspaces represent projects. Duplicate a workspace to plan a new project based on a previous one.

In the example below, the _Renovation Building A_ workspace is duplicated for a new, similar project.

## 4 - Duplicating a checklist template

You can also [duplicate a checklist template](https://help.wedo.swiss/fr/articles/3284149-dupliquer-un-modele-de-checklists). Duplication allows you to create a new template and take over all tasks and the contents of their detail panes. Completed tasks are also resumed.

### What is the major advantage of this feature?

In your organization, you need to maintain procedures that have a similar structure and content. Duplicate a checklist template to save time and then link the duplicates to the teams involved in the procedure!

In the example below, the template _Onboarding collaborator_ is duplicated in order to be linked to the _Administration_ team.

## 5 - Delegating a task using a user's initials

To delegate a task to a colleague, simply enter their initials in the field provided. 

The procedure is the same for all places that have a field to search for a user: you only have to enter the initials of the person concerned to find him/her quickly!

## 6 - Instant search

Search indexing is now instantaneous! For example, if you create a task, it is directly accessible via the search tool. The same goes for searching through meetings, decisions or files. In the search results, WEDO shows you the number of hits found.

Fribourg SME WEDO is doing well and has decided to consolidate its place in the Swiss economy by changing its legal form. The former Llc is proud of its new name, WEDO Ltd, even though the founders have no intention of opening up the company's shares to external investors for now.

After swapping the initial domain name wedo.swiss for [wedo.com](http://wedo.com/) a few months ago, the company is now pursuing a strategy of consolidating its assets for serene and ambitious growth.

**A team with international ambitions**

Founded in 2015 by Fribourg-based David Dutch and Antoine Sudan, the company now has 14 employees based in Fribourg and Zurich, including four recruits in 2022 alone. Working in high value-added jobs such as Full Stack Developer (3 of whom trained at the Fribourg School of Engineering), Digital Marketing Specialist, Business Developer, or Customer Success Manager, these employees contribute to the wealth of a secure, high-performance software product. Recruitment accelerated in 2022, intending to build a team of 20 employees by 2024. Widely adopted in French-speaking Switzerland, WEDO has been gaining ground in German-speaking Switzerland since the hiring of Business Developers in 2020. Our recent LinkedIn survey revealed that almost 40% of respondents associate the ineffectiveness of a meeting with the lack of decisions made, while 34% point the finger at the participants' lack of preparation.

Indeed, meetings dictate our weeks and petrify our calendars. However, they remain a central element in collaboration and mark the echelons of project management.

In this article, we address these issues and suggest a few best practices that will have the advantage of optimizing your meetings.



## Problem n°1: Promoting decision-making at meetings

### 🎯 Systematically setting objectives

The meeting leader must be clear about the objectives of the meeting. Depending on the objectives and their deadlines, it is important to systematically [define in advance the decisions to be taken](https://help.wedo.com/en/articles/6877940-voting-decision-preparing-the-decision-on-a-vote) and mention them in the agenda. 

### 🗣️  Assign decision-making authority

When a decision is taken within a group, voting can  reach a collegial decision. Voting puts an end to endless discussion and allows the group to move on to the next issue.

Reading the issues in advance ensures that they are dealt with more quickly, thus reducing the length of the meeting.   

### 🗓️  Initiate debate before the meeting

By mentioning any [questions or decisions](https://help.wedo.com/en/articles/5701398-types-of-blocks) to be made on the agenda, participants can prepare themselves for the debate.  

### 👤 Empowering participants

The meeting initiator does not have to run the entire session. On the contrary, by [appointing a member of staff as presenter](https://help.wedo.com/en/articles/5747620-define-the-presenter-of-a-topic) for a topic in which he or she is involved, he or she will by nature be better prepared and more responsible for managing the project. In addition, the change of presenter will have the advantage of giving the meeting a rhythm.

If you are involved in preparing for your company's Board of Directors meetings, first organize all the documents that will be presented at the meeting, such as financial reports, sales reports, and marketing updates. Ensuring all documents are well-given, complete, and easy to understand is essential.

If you are responsible for presenting reports, prepare them well before the meeting. Ensure they are clear, and concise and contain all the relevant information for the meeting.

###  ❔ Identify key issues

Finally, before the meeting, identify the key issues or areas of concern that will be addressed during the session. Then, be prepared to offer ideas, suggestions, or recommendations if necessary.

Once you have prepared these initial points, focus on establishing the topics discussed at the meeting: your agenda.

##  2. Set the agenda

###  📣 Determine what topics to address

Topics discussed at board meetings may vary depending on the organization. They may include:

- financial reports;
- operational updates; and
- Strategic planning;
- Risk management;
- legal compliance;
- Ongoing projects;
- Voting;
- and other matters of importance to the organization.

###  📋 Create your base frame

The items discussed are often the same from one board to the next. Be sure to identify recurring themes to save valuable time preparing for future meetings.

###  🗣️ Choose theme presenters

The speakers may vary depending on the theme. Therefore, it is essential to define who should prepare the agenda items or simply who will be the presenters of the topic. This will reinforce the collaborative aspect of the preparation of the meeting. All members will be involved in the upcoming session.

##  3. Manage access to the meeting

It is expected that access to a CA meeting needs to be finely managed to choose who can see what and especially when. If your tool allows it, try to control the access to the meeting and the role of your participants according to its stages. This will enable you to prepare your agenda according to these different rights and not worry about access beyond the preparation. Determine who are editors, readers, or those who do not have access.

##  4. Integrate the votes

#### 🗳️ Determine voters

Choose who is allowed to vote. Then determine how you will collect the results. Different options are possible:

- digital votes by each voter ;
- a show of hands during the session;
- and collecting votes, with the secretary transcribing the results at the end of the meeting.

####  ☑️ Allocate shares

Voting is integral to the Board of Directors' process since members are often asked to vote on strategic decisions affecting the company. Therefore, be sure to allocate shares according to the decision-making weight of each voter.

####  🟢 Require quorum

In the event of a vote, and if you have allocated shares, you must verify at the beginning of each board meeting that a quorum is present. A quorum is the minimum number of shares based on those present at the meeting.

####  👤 Allow anonymous voting

Determine for a meeting whether you will allow anonymous voting. This should be determined before the meeting, or at least before voting opens.

####  🚫 Hide voting results until close

Depending on the internal operation, it may be necessary to hide the votes until they are closed. Ensure this is the case for the votes processed during your board of directors.

####  🔨 Write pre-decisions

To save time processing the votes, you can write the pre-decisions resulting from them. This is possible if you can imagine the outcomes of the votes. You can prepare a pre-decision for each possible answer. 

##  5. Write the minutes

###  💻 Writing by the Secretary

For this very formal meeting, the writing of the minutes is usually entrusted to a secretary. Here is how this person will compose their minutes.

#### ✍🏻 Paragraphs

Add well-structured paragraphs to reflect the discussions in the plenary. The idea is to proceed systematically and be as transparent as possible while favoring a simple style and short sentences. Think about your future readers from the start!

#### 🗳️ Votes

During the drafting process, validate the votes prepared beforehand and decide on the final decision.

#### 🔨 Decisions

Highlight essential decisions made during the board meeting. The idea is that from the minutes, each member can see all the strategic decisions that the meeting has decided upon.

#### ✅ Tasks

Make a clear list of tasks that flow from the decisions approved by the board. You can also already assign tasks to the people in charge, determining their priority and due date. By doing this, you will have your members up and running by the end of the meeting. Then, everyone knows what needs to be done and by when.
